Yes. NEMA signs a BAA with every facility before onboarding begins. PHI moving through the platform is encrypted in transit (TLS) and at rest, access is role-restricted, and every action is audit-logged — the platform is built for HIPAA-regulated environments.
Do we have to give up our existing NEMT vendors?
No — there's no exclusive-contract requirement. NEMA works alongside the vendors you already use: your preferred vendors keep preferred status and get first claim on your trips, and if you run your own vans, those fill first. Use NEMA for overflow only, for specific transport types, or as your primary network — whatever fits. NEMA sources what you can't cover.
How do I know a driver is credentialed?
Every provider is verified before their first ride — DMV records, vehicle insurance, applicable licenses, NEMT certifications, vehicle condition, and driver training, checked against the higher of NEMA's standard or your county's requirements. Credentials are re-verified on an ongoing basis, not just at signup, and the credential documentation is attached to the trip record for any completed ride.
What happens if a driver doesn't show up?
You aren't charged, the trip is flagged and escalated, and the no-show counts against the provider's performance grade — which determines their future access to trips. You'll see the trip's status in real time, so you know before the resident is waiting at the door. The system is built to make no-shows costly for the provider, not for you.
Can I see where a ride is in real time?
Yes. Every trip carries a timestamped status trail — Confirmed, En Route, Arrived, Completed — that your coordinators see on the dashboard as it happens. No more calling the driver to check whether a patient has been picked up, and the full status history stays attached to the completed trip record.

What records do I get for discharge planning and audits?
Every completed trip auto-generates a digital record — provider credentials, transport type, timestamps, and full status history — with no extra data entry. The records support CMS SDOH discharge-planning documentation and are exportable for internal audits or survey prep.

How does billing work?
One consolidated invoice at the end of each month — a line item per trip (date, transport type, rate), paid by ACH. No reconciling paper invoices from a handful of different vendors, and rates are agreed upfront, so there are no surprise line items. Invoice history lives in your dashboard.

Is there a setup fee or monthly subscription?
No. No setup fee, no subscription, no per-seat license. NEMA earns a small percentage of each completed trip, built into the rate you pay per ride — and if a trip isn't completed, you don't pay.
What transport types are supported?
Ambulatory (seated), wheelchair (WC van), and gurney/stretcher. You select the level of care when posting the trip, and because providers are credentialed for specific vehicle types, you'll only see confirmations from providers qualified for that trip type.
Does it work for recurring trips like dialysis?
Yes. Post a recurring schedule once — say dialysis three times a week — and it repeats automatically. Each trip is still tracked, documented, and billed individually, so your records stay clean even for high-frequency patients, and consistent routes tend to get claimed by the same providers, so your residents see familiar faces.
For Providers
What does it cost to join?
Nothing. No subscription, no application fee, no credentialing fee. NEMA earns on completed trips, same as you.
How and when do I get paid?
Weekly, by direct deposit. All completed trips bundle into one payout statement showing every trip and rate. No invoicing facilities, no Net-30, no chasing checks.
How are rates set?
Rates are set at the network level, by county and transport type, and you see the payout before you accept a trip. No negotiating account by account, and no undercutting race — the rate holds.
How does the performance system work?
Every provider starts at a standard base payout plus a starting bonus. On-time arrival, completion rate, and patient reviews raise your grade over time — a higher grade earns a larger bonus on every trip and earlier access to new trips in your area. Full details are shared during onboarding.
Do I lose the facility accounts I already have?
No. Facilities you brought or earned can set you as their preferred provider, which gives you first claim on their trips — with network volume available to fill the rest of your schedule.
What are the requirements to join?
Current licensure and insurance, vehicles that pass inspection, and completed driver training appropriate to the transport level. Credentialing happens once during onboarding and is kept current in the platform — we handle the paperwork with facilities from there.
What if there's a dispute — wait times, cancellations?
Disputes come to NEMA, not to the facility relationship. We resolve them against contract terms as the neutral party, so you get an answer without burning an account.
Pricing
How are facility rates set?
Per-trip rates are agreed during onboarding based on transport mix, expected volume, and market — then locked. The rate is the same whether you plan ahead or book same-day, and it doesn't change without explicit agreement.
Are we charged for trips that don't complete?
No. If a trip isn't completed, the facility isn't charged and the provider isn't paid.
Is there a minimum volume commitment?
No. Use NEMA for overflow only, for specific transport types, or as your primary channel. No penalty for light months.
Are there hidden fees?
No. No setup, credentialing, documentation, or exit fees — for either side. Facility rates and provider payouts are stated upfront and hold.
How does NEMA make money?
On completed trips. NEMA's margin is built into the network rate — we earn when the ride happens, not from subscriptions or fees stacked on either side.
